Executive Assistant to the VP of Operations
At Kansas City Clinic Advisors, we're partnering with a growing technology company and are looking for a highly organized, proactive, and execution-focused Executive Assistant to support their Vice President of Operations.
This is far more than a traditional administrative role. The VP of Operations leads delivery, operations, client execution, and strategic initiatives across the organization. As their Executive Assistant, you'll act as a true extension of the executive, helping drive priorities forward, coordinating projects, following up with stakeholders, and ensuring operational excellence across multiple workstreams.
🔹 Key Responsibilities:
Executive Calendar & Time Management
Manage and optimize the VP's calendar, meetings, travel arrangements, and daily priorities, ensuring time is allocated effectively and critical initiatives stay on track.Project Coordination & Delivery Support
Support project planning and execution using Asana. Track project milestones, coordinate stakeholders, maintain project visibility, and help ensure successful delivery of operational initiatives.Client & Stakeholder Management
Serve as a point of contact for clients, vendors, and internal stakeholders. Represent the VP in meetings when appropriate, communicate updates, and help maintain strong professional relationships.Meeting Management
Coordinate meetings, prepare agendas, organize materials, document key decisions, and ensure clear follow-up actions are assigned and completed.Process & Documentation Management
Assist with operational documentation, contract routing, change orders, templates, approvals, and other administrative processes that support business operations.Resource & Workforce Coordination
Support PTO tracking, timesheet follow-ups, staffing coordination, and other internal operational processes to ensure smooth day-to-day execution.Executive Communication
Draft, review, and manage communications on behalf of the VP with internal teams, clients, partners, and vendors.Special Projects & Executive Support
Handle special initiatives, research projects, travel planning, executive reminders, and occasional personal administrative tasks that help maximize the VP's effectiveness.
🔹 Requirements:
Experience
At least 2+ years as an Executive Assistant, Project Coordinator, Project Administrator, Operations Coordinator, or similar role supporting senior leaders.Experience in Big Four firms (PwC, EY, Baker McKenzie) or tech/startup environments is a strong plus.
English Proficiency
Advanced English skills (C1 level or above, written and spoken). This role is 100% in English.Tech-Savvy & Tools-Driven
Strong command of Microsoft 365, project management platforms, and modern productivity/AI tools.Exceptional Organization Skills
Ability to manage multiple priorities, high volumes of follow-ups, and constant change in a fast-paced setting.Proactive, Anticipatory Mindset

🔹 About the Role & the Company:
💻 Hybrid position if you’re in Buenos Aires City. Fully remote if you live outside CABA.
🕒 Full-time schedule, supporting U.S CST hours.
